Job Opportunity
We are looking for a Personal Assistant to provide a secretarial service including administrative and clerical support to a member / members of the EMT (Executive Management team), where you are expected to t ake the initiative in leading on tasks such as reporting and project coordination for the EMT and their respective team members, this may include managing challenging stakeholders.

This role is based in Dubai Support Office.

Key accountabilities
Assess meeting requests and prioritize meeting schedule to achieve business objectives and take full ownership of writing regular reports, creating presentations and writing external-facing letters by aligning with different departments and team leads to ensure information is accurate and ensures Serco is promoted in a positive way.
Take initiative and lead on tasks such as reporting and project coordination of the management and their respective team members, this may include managing challenging stakeholders.
Process EMT’s expense claims, oversee visa and medical claims and renewals and provide record and approval for corporate credit card usage
Develop and deliver required documentation, presentations, and collate reports consistently and accurately on a weekly and monthly basis and Coordinate and take minutes during monthly meetings, share and chase actions as required.
You are expected to work with complete confidentiality manage EMT diary schedule to ensure optimum use of time, email and respond to queries as and when required.
Manage all the changes to the scheduled meetings ensuring that timely and appropriate communications are delivered to internal and external customers and where possible, reschedule meetings accordingly.
Plan for any business travel by booking appropriate flights to ensure that the EMT have sufficient time for preparation to meet their objectives.
Process EMT’s expense claims, oversee visa and medical claims and renewals and provide record and approval for corporate credit card usage
Develop and deliver required documentation, presentations, and collate reports consistently and accurately on a weekly and monthly basis.
Screen calls to ensure only essential calls are put through to the EMT and others are redirected to other team members or PA’s for action based on subject of discussion.
Draft business letters, reports and reports as and when required or requested
Regularly liaises with Middle East PA’s to plan Executive and Board meetings and Serco Group PA’s to plan for Board meetings

Essential technical and professional skills
A good knowledge of all office systems and office administration
Understanding of relevant policies and procedure
Excellent organisational and communication skills with the ability to convey complex information in an easily understood format
Excellent knowledge of Microsoft Office, Excel, Outlook, PowerPoint, Word and Teams
Possess excellent customer service skills
Ability to handle confidential information in strict confidence
At least five years in C-Suite level assistant role.
